FAQ
What people usually ask us before hiring
Before you hire us
What does arista. do?
We build systems that take repetitive work out of your operation: scheduling, WhatsApp reminders, client follow-up, invoicing and dashboards. We leave them working and documented. We don't sell software. We sell the hours you stop spending on tasks a machine can do.
Do I need to know about technology?
No. You tell us how you work and we set everything up. All we ask for is access to your tools, your message templates and a little time for training.
How much does the diagnostic cost, and what happens on the call?
It costs $0. It's a 20-minute video or phone call with five questions about your day to day. At the end we know what takes up most of your time and which tool solves it. Nothing is sold on the call. If a proposal makes sense, you get it in writing afterwards. We record it for better follow-up, only if you authorize it.
Who is arista. for?
Independent professionals and entrepreneurs (doctors, psychologists, lawyers, coaches, architects, business owners) and teams of 2 to 15 people anywhere in Mexico, with remote work from Guadalajara. If your team is larger, we don't take the project for now.
Who does the work?
Argenis López runs your project from start to finish and is solely responsible to you. When the project needs it, a developer from the arista. team supports him under a confidentiality agreement.
What don't you do?
Brand design (logos, identity manuals), social media management, paid advertising campaigns, and network or hardware support. We also don't quote platforms we don't know well, such as SAP or Salesforce, although we can connect them to your other tools. For design work, we can refer you to an independent designer.
What's included
What services do you offer?
Systems with a one-time setup and a monthly fee: scheduling with automated WhatsApp, an AI agent on WhatsApp, a CRM with automatic follow-up, a complete system combining scheduling and CRM, automatic invoicing (CFDI), and a monday.com implementation for teams. One-time services with no monthly fee: a landing page, a Looker Studio dashboard, digital payment integration, a website chatbot and custom automations.
What do I receive at the end of a project?
The system configured and tested, documentation of how it works, a video manual of up to 10 minutes, and training for the people who will use it. The exact list of deliverables is in your proposal.
Do I pay for the tools?
Yes. You buy the licenses and platform costs yourself (WhatsApp Business API, Make plans, monday.com, invoice stamps), in accounts under your name. Before you sign, we tell you which ones you need and what they cost.
Who writes the automatic messages?
You give us the templates in your own voice and we set them up. Writing the texts is not included in the base products.
Pricing and payment
How much does it cost?
The simplest systems start at $4,500 MXN for a one-time setup, with a monthly fee from $1,000 MXN. One-time services are charged once. All prices are plus VAT. For teams, the price depends on the number of users and workflows, and it's set after the diagnostic. We quote by result, not by the hour, except custom automations, which are priced per deliverable. You get the exact price in writing.
What does the monthly fee cover?
Keeping the system running: fixing failures, small adjustments and a monthly review of results with you over WhatsApp. Big changes and new workflows are quoted separately.
How do I pay, and do you invoice?
50% upfront when you sign and 50% when you approve the final validation. We accept SPEI bank transfer or Clip. The project starts once the deposit is paid. We issue a CFDI for every payment, so we need your tax status certificate (constancia de situación fiscal).
What if the result isn't what I expected?
The project is delivered against acceptance criteria written in the proposal. If they aren't met, we fix it at no cost until they are. The deposit is not refundable once work has started.
Delivery and support
How long does it take?
From 3 days (payment integration) to 5 weeks (complete system or monday.com). The clock starts when you pay the deposit and give us access.
What do I need to give you to get started?
Administrator access to your platforms, a person who validates during testing, availability for training, and your message templates when they apply. If something on your side is delayed, the schedule moves by the same amount.
What happens after delivery?
You get 30 days of support at no cost for usage questions and configuration errors. After that the monthly fee starts, if your product includes one. Scope changes and new configurations are quoted separately.
What if WhatsApp, Make or another platform changes something and my system breaks?
It happens, because these are third-party platforms that change without notice. With an active monthly plan we review and fix it. Without one, the repair is quoted. We don't guarantee continuous availability of platforms we don't control.
Can I cancel?
Yes. You cancel the monthly fee with written notice (WhatsApp or email) 30 days in advance. When you cancel we hand over the documentation and access, and the system stays yours because it lives in your accounts. Setup you've already paid for is not refunded once delivered.
Data and ownership
Who owns the system you build for me?
You do. It's built in accounts under your name and you receive the documentation to run it without us. arista. keeps its methodology, templates and general know-how to use with other clients.
What do you do with my data and my clients' data?
We access only what we need to set up the system and support it. We don't sell it or use it for anything else, and we sign a confidentiality agreement. The details are in the privacy notice.
Can I store medical records or health data in the system?
No. Our scheduling and follow-up systems handle name, phone number, and appointment date and time. We don't design systems to store medical records, diagnoses or reasons for consultation.
Does the AI agent read what my clients write?
Yes. Messages are sent to a language model provider to generate the reply, and the agent hands off to a person when it shouldn't answer on its own. As the business owner, you have to tell your clients about this in your own privacy notice.
Typical timelines
Timelines run from 3 days to 5 weeks depending on the product. They are counted in calendar days from the moment the deposit is paid and the client provides access.
| Product | Delivery | What slows it down |
|---|---|---|
| Digital payment integration | 3 to 5 days | Payment gateway account not verified |
| Looker Studio dashboard | 5 to 10 days | Messy or scattered source data |
| Automatic invoicing (CFDI) | 7 to 12 days | Incomplete tax status certificate or digital seals (CSD) |
| Autopilot (scheduling + WhatsApp) | 10 to 14 days | Message templates not delivered |
| CRM + automatic follow-up | 10 to 14 days | Pipeline stages not defined |
| Landing page | 1 to 2 weeks | Texts and photos not delivered |
| Website chatbot | 2 to 3 weeks | Incomplete business information |
| AI agent on WhatsApp | 3 to 4 weeks | Meta verification and data to train the agent |
| monday.com for teams | 3 to 5 weeks | Number of users, permissions and departments |
| Complete system (scheduling + CRM) | 4 to 5 weeks | All of the above, together |
| Custom automation | Depends on scope | Set in writing in the proposal |
Timeline rules
- If the client is slow to respond, approve or provide access, the schedule moves by the same number of days.
- A scope change in the middle of a project is quoted and rescheduled in writing before it is carried out.
- Third-party approvals (Meta for the WhatsApp API, the SAT and the PAC for CFDI, payment gateways) are outside arista.'s control. We flag them as soon as we see them, and they don't count as arista. delays.
- The proposal arrives within 3 business days after the diagnostic and is valid for 15 calendar days.
